Terms of Service

These Terms of Service are an agreement between you and Vehtraq. By creating an account, using the dashboard, starting a subscription, or otherwise accessing the service, you agree to these Terms.

If you use Vehtraq for a company, fleet, household, or other organization, you represent that you are authorized to accept these Terms for that organization and that "you" includes that organization.

Vehtraq is a vehicle record tracking service for storing vehicle profiles, fuel logs, expense logs, reminders, charts, exports, account preferences, subscription status, and billing information. Vehtraq may add, change, or remove features as the product evolves.

Vehtraq is a recordkeeping tool. It does not replace manufacturer manuals, professional maintenance advice, inspections, insurance guidance, tax advice, or legal advice. You are responsible for decisions made from your records and for safely maintaining and operating your vehicles.

You must provide accurate account information, keep your credentials secure, and promptly update information that becomes inaccurate. You are responsible for activity under your account unless caused by Vehtraq's failure to meet its obligations.

You may not share account access in a way that bypasses plan limits or security controls. If you believe your account has been compromised, you should update your password and contact support through the dashboard.

You keep ownership of the vehicle records, notes, feedback, and other content you submit to Vehtraq. You grant Vehtraq a limited license to host, process, transmit, display, back up, and format that content as needed to provide, secure, troubleshoot, and improve the service.

You are responsible for the accuracy, lawfulness, and completeness of your records. Do not enter information you do not have the right to provide, including another person's personal information or vehicle information without appropriate permission.

Vehtraq may offer free and paid plans. Current public pricing describes a Free plan and a Plus plan billed monthly in USD. Paid plans renew automatically until canceled. By starting a paid plan, you authorize Stripe to charge your payment method for recurring subscription fees, applicable taxes, and other disclosed charges.

Stripe processes checkout, payment methods, invoices, and billing portal sessions. Vehtraq stores subscription status and related Stripe identifiers so it can grant or remove paid features. You must keep a valid payment method on file for paid plans.

Prices, limits, and plan features may change. If a change materially affects an active paid plan, Vehtraq will take reasonable steps to notify affected users before the change applies, unless the change is required by law, security, or a service provider.

You can manage or cancel a paid subscription through the billing area of your account. Unless stated otherwise during checkout or required by law, cancellation takes effect at the end of the current billing period and fees already charged are not refundable.

If a payment fails, is disputed, or a subscription ends, Vehtraq may downgrade the account to the Free plan, restrict paid features, or lock vehicles beyond the applicable plan limit. Existing records may remain stored, but your ability to add, edit, export, or access paid features may be limited until the account is back within plan limits or the subscription is restored.

You agree not to:

• Use Vehtraq for unlawful, harmful, deceptive, or abusive activity.
• Access, copy, tamper with, or attempt to discover another user's account, records, or non-public data.
• Interfere with, overload, scan, scrape, reverse engineer, or bypass security, rate limits, billing controls, or plan limits.
• Upload malicious code, exploit vulnerabilities, or use Vehtraq to attack other systems.
• Submit content that infringes rights, violates privacy, or contains confidential information you are not authorized to provide.

Paid plans may include PDF or Excel exports. Exports can contain vehicle identifiers, plate numbers, odometer readings, costs, providers, stations, notes, and other records you selected. You are responsible for reviewing exports before sharing them and for protecting exported files outside Vehtraq.

Vehtraq relies on third-party services such as Supabase for authentication and database infrastructure, Stripe for billing, and hosting or infrastructure providers for application delivery. Your use of those integrated services may be subject to their own terms, policies, and availability.

Vehtraq and its software, designs, logos, interfaces, workflows, and documentation are owned by Vehtraq or its licensors. Except for the limited right to use the service under these Terms, no rights are transferred to you.

If you submit ideas, feedback, or suggestions, Vehtraq may use them without restriction or compensation, provided that use does not give Vehtraq ownership of your underlying vehicle records.

Vehtraq's collection and use of personal information is described in the Privacy Policy. By using Vehtraq, you acknowledge that information will be processed as described there.

Vehtraq aims to provide a reliable service, but access may be interrupted by maintenance, outages, provider issues, security events, or circumstances outside Vehtraq's control. Vehtraq may suspend or limit access where reasonably necessary to protect the service, enforce these Terms, comply with law, or prevent harm.

You may stop using Vehtraq at any time. Vehtraq may suspend or terminate access if you materially breach these Terms, create risk for the service or other users, fail to pay amounts owed, or use the service unlawfully.

After termination, Vehtraq may retain or delete information according to the Privacy Policy, legal requirements, backup practices, and legitimate business needs.

To the fullest extent permitted by law, Vehtraq is provided "as is" and "as available" without warranties of any kind, whether express, implied, statutory, or otherwise, including warranties of merchantability, fitness for a particular purpose, title, and non-infringement.

Vehtraq does not warrant that records, calculations, charts, reminders, exports, or billing information will be error-free, uninterrupted, or suitable for any particular regulatory, insurance, tax, maintenance, or fleet compliance purpose.

To the fullest extent permitted by law, Vehtraq will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, data, business opportunities, or vehicle-related losses.

To the fullest extent permitted by law, Vehtraq's total liability for any claim relating to the service will not exceed the greater of the amount you paid to Vehtraq for the service in the three months before the event giving rise to the claim or USD 50.

You agree to defend, indemnify, and hold harmless Vehtraq from claims, damages, liabilities, losses, and expenses, including reasonable legal fees, arising from your records, your misuse of the service, your breach of these Terms, or your violation of law or third-party rights.

These Terms are governed by the laws applicable where the Vehtraq operator is established, without regard to conflict of law rules, unless mandatory consumer law gives you additional rights. Courts in that jurisdiction will have exclusive venue for disputes, except where applicable law requires another forum.

Vehtraq may update these Terms from time to time. If changes are material, Vehtraq will take reasonable steps to notify users, such as posting updated terms or providing notice in the service. Continued use of Vehtraq after the effective date of updated Terms means you accept the changes.
